Summary

This is a courtesy extract that we can provide to your district. Please ask your Implementation Manager or a Product Specialist to install the Custom Report(s).

This extract is used for Houghton Mifflin Harcourts ThinkCentral and MyHRW services. Illuminate Education can provide a demographic, user, class and class assignment extract.

Minimum requirements

The following minimum requires must be met before we begin. If you did not meet all the requirements, contact our help desk at [email protected] or call our help desk at (949)-242-0343 to get more information.

• District employee responsible for troubleshooting and forwarding issues to Illuminate help
• District employee with knowledge of Secure File Transfer Protocol (SFTP) and access to the Illuminate SFTP server where we drop our extract files
• District entered or uploaded English proficiency data
• District has published master-schedules for their sites
• This extract must be rolled over year-to-year. Please contact ISI Support during the summer to rollover this extract. Please see section "Rollover Filters" for more information.
• Note, for roster information to successfully carry over, you must have a published, live master schedule to pull from.

Other recommended specifications

Please be aware you may run into issues if these additonal recommendations are not met:

• Users (such as adminstrators, faculty and teachers) do not have a one-to-one relationship in Illuminate. You may run into some issues when trying to translate this information from Illuminate into the vendor's system. We try our best to capture the minimum and maximum grade level a teacher is associated with using their rosters.
• We use the site_id value (found in Site Management) for site codes.
• Students and users must be rolled over for target session.
• Master-schedules must be published for target session.

Rollover Filters

When requesting this extract, you will need to provide the following information to implement it and for any subsequent years we rollover the extract for use.

• Academic Year: What academic year we pull for. We can only pull for a single academic school year.
• Start Date: Academic year start date. It is used as the minimum start date, meaning if the CURRENT_DATE < START_DATE then it will use the start date instead. This is particularly useful when trying to rollover and set up data over the summer.
• End Date: Academic year end date. It is used as the maximum end date, meaning if the CURRENT_DATE > END_DATE then it will use the end date instead. This is particularly useful when trying to preserve data for the normal school year when summer school begins or all of the enrollments/rosters end at the end of the normal school year.
• Grade Level Start: Filters for this starting grade level. Grade levels between Grade Level Start and Grade Level end will be included.
• Grade Level End: Filters for this ending grade level. Grade levels between Grade Level Start and Grade Level end will be included.

Extract specifications

Below are the specifications for the files we provide. These file specifications have been created based on standard requirements from the vendor. If you would like to use this standard extract and your district has a custom setup that differs from what Illuminate provides, please work with the vendor to make adjustments to the import. If you believe our specifications are out of date, please be ready to provide the latest specifications from the vendor.

Users (USERS.csv)

• Comma-separated .csv file
• Includes student and user information for authentication and user permissions. UNIONs our user and student table data.

Classes (CLASS.csv)

• Comma-separated .csv file
• Includes section data.

Class Assignment (CLASSASSIGNMENTS.csv)

• Comma-separated .csv file
• Includes affiliations between users-sections and between students-sections.

Demographics (DEMOGRAPHICS.csv)

• Comma-separated .csv file
• Includes general student demographic data.
• This file seems to be optional.
